Purpose of the Role:


To support the Head of Team Coordination & Services (TC&S) in providing effective assistance to the Race Team by identifying, facilitating and delivering, directly or through internal or external suppliers, all provisions and services required by the Team.


Role Dimensions:


This role may be required to deputise for the Head of TC&S at events. Unsociable hours and occasional travel to races or pre-season testing events in the Formula 1 season will be required.


Key Relationships:


This role will support the Head of TC&S in establishing routines to engage function heads and key partners to ensure alignment of objectives, to collect requests, to share solutions and to realise high standards. In order to best assist everyone’s needs, this will involve building strong relationships with each member of the Race Team.


Principal Accountabilities:


Working with the Head of TC&S to manage all logistics relating to people, travel and accommodation for the Race Team, including working closely with colleagues in Occupational Health and Team & Travel to maintain accurate records for travelling staff and to ensure that medicals, flights, hotels and transfers are arranged as required.

Implementing security and risk-mitigation plans for tests and races and assessing security levels during transfer and while at venues.

Maintaining and verifying accurate attendance registers for events and assisting with all per-race communications to the Team via distribution lists.

Managing the accreditation of passes for staff and guests with the FIA and F1.

Working with external medical suppliers and internal resources to facilitate medical, sanitary and wellbeing services.

Supporting the logistics and scheduling of drivers in liaison with the drivers themselves, their managers and assistants, while collaborating with Marketing to produce the Driver Master Schedule.

Liaising with Marketing to ensure adequate standards are achieved in regards to motorhomes, hospitality and catering, including nutritional programmes and dietary requirements.

Working with catering providers and garage support teams to ensure that refreshment areas are well-stocked and kept tidy.

Supporting the Head of TC&S to manage all services, vehicle access, electrical, dry ice, credentials, remedial work and garage floor painting required at circuits.

Managing the replenishment and laundering processes for driver and mechanic pitstop overalls.

Ensuring that all driver helmets, uniform and gear (including any spares) are delivered trackside and in accordance with current branding guidelines set by Marketing.

Liaising with drivers, management and helmet suppliers to resolve issues and provide necessary upgrades and documenting and preparing all helmets prior to events.

Identifying and exploiting opportunities to elevate clothing and gear standards, and working with working with Clothing, Marketing and external suppliers to suggest improvements for comfort and effectiveness.

Managing training requirements and arrangements for the Race Team, including bookings and research on facilities and suppliers as requested.

Providing logistical support to Race Operations with parts and freight schedules and labelling.

Supporting the Head of TC&S in their role as Race Team delegate for all administrative and operational matters relating to the Covid-19 mitigation effort, and deputising if necessary.

Supporting the Director of Team Operations with FIA submissions of operational personnel, and other projects, including race trucks.

Providing support to the leadership team on logistics, communications, networking and procedures in the case of a major incident.

Working in conjunction with Marketing to digitalise the event planning and itinerary process.

Collaborating with internal and external stakeholders on future projects, including race trucks and the meals repayment scheme.



Knowledge, Skills and Experience:


Experience of managing logistics and operations in a high-pressure and time-critical environment.

Knowledge of technical, sporting, operational, legality or marketing matters as applicable to motorsports.

Experience of improving and streamlining procedures for greater efficiency.

Good working knowledge of Microsoft Office.
